Codes of Ethics and Professional Practice
All treatments and workshops provided by Om Chi Reiki will last for the specified duration purchased. i.e. a 60 minute treatment will last 60 minutes.
All clients must complete a consultation form prior to treatment and will receive up to 15 minutes consultation within their session time.
Treatments will only be conducted if OCR deems the treatment safe for the client to receive
GP/Consultant permission may be required before treatments can be provided

Client Assessment
Reiki does not take the place of conventional medical treatment.
Reiki Practitioners will make a baseline assessment prior to the first Reiki session and discuss appropriate aftercare.
All clients and owners or caregivers of animal clients should be asked what medical or veterinary diagnoses and advice they have received, but it is the client’s decision as to whether or not this information is disclosed. Where appropriate, they should be advised to consult their GP if they have not already done so. Since it is legal to refuse medical treatment, no client can be forced to consult a doctor.
A client should not be advised to discontinue prescribed medication.
Any advice given must be within the professional expertise of the Reiki Practitioner.
Confidentiality
Reiki Practitioners, and professional support team, have an implicit duty to keep all information relating to attendance and client records entirely confidential. No disclosure may be made to a third party, including any member of the client’s own family, without the client’s consent, unless it is required by due process of the law.
Reiki Practitioners must ensure that they comply with current data protection legislation.
Reiki Practitioners who sell or otherwise transfer their interest in a practice must inform all their clients of the change and give the name of the Reiki Practitioner who has taken over. No information on a client shall be provided to the incoming Reiki Practitioner without the permission of the client or the owners or caregivers of animal clients.
Client’s Records
Reiki Practitioners must ensure they keep clear and comprehensive records of their treatments including dates and advice given. These records should be factual and avoid opinion. This is especially important for the defence of any negligence actions as well as for efficient and careful practice.
Records are to be kept in safe custody for seven years from the time of the last consultation.
Client treatment details will not be discussed with anyone other than the client unless the client is under the age of 18 or has a care worker or guardian

Consultation Forms and treatment notes will be kept on file, securely by OCR
All clients must complete a consultation form prior to receiving OCR treatments, either online or in-person
By signing the consultation form, clients are giving OCR permission to hold records and data about them
Personal information will not be shared with any third parties
Inappropriate Behavior
OCR has the right to terminate a treatment immediately if the client demonstrates inappropriate or sexual behavior
Payment will be collected for the full treatment price
If the therapist is unable to collect money before leaving, an invoice will be sent to the client’s address
All invoices must be paid within 7 days of issue date
Cancellation Policy
A booking is confirmed once OCR and the client have both agreed a date, time, duration and location for a treatment
If a cancellation is made more than 24 hours before a treatment, the client will not be charged
If a cancellation is made within 24 hours of the treatment, they will be expected to pay a cancellation fee of £40 for each hour cancelled
This cancellation fee may be waived at OCR’s discretion.
The cancellation fee must be paid within 7 days of the cancellation
If a client is experiencing symptoms of Covid-19 or has knowingly come into contact with someone with Covid-19 symptoms within two weeks prior to the treatment, the client must cancel their session with immediate effect and the cancellation fee will be waived
OCR has the right to cancel a treatment by giving 24 hours notice
OCR has the right to cancel a treatment without notice if the room or environment is unsuitable for the treatment to be provided, or if the therapist is taken ill
OCR has the right to cancel a treatment without notice if the client is intoxicated or inebriated
OCR commits to rearranging treatments to a new time and date within two weeks of the cancelled treatment where possible
Vouchers
Vouchers can be used as payment towards any available, advertised treatments
Vouchers are only valid for one use
If the whole amount of the voucher is not used, another voucher for the remaining voucher sum will be issued
Vouchers are only valid up to and including the expiry date
Postage will only be charged for vouchers that are paid for online and then posted
If postage is paid, but vouchers are delivered during a treatment, the postage fee charged will be returned to the customer in cash
Refunds are not available for vouchers already paid for and provided
Feedback Forms
Feedback forms will be sent to clients at OCR’s discretion
Content may be used in publicity material and on the website, with the permission of the author
Website Content
Website content will be authorised and managed at OCR’s discretion, including testimonials
Photographs will only be displayed with the consent of the people in the photograph
Photograph consent may be obtained by OCR verbally, or in writing if the client completes a photo release form
Photo release forms can be requested by phone or email
Payment
OCR accepts payment in cash, bank transfer, Stripe or through Paypal
Invoices will be sent to clients who do not pay for, or who cancel, treatments
Invoices must be paid within 7 days of the issue date
Courses
Deposits for courses and trainings paid will not be refunded but can be transferred for the equivalent price to another course or a healing with Poppy unless otherwise stated
If you are unable to attend a course (online and in-person) and have paid for it, with good reason you are entitled to a refund minus deposit
Young Clients
Clients under the age of 18 must be accompanied by an adult
The adult must give permission for the treatment to be performed
The adult must co-sign the client’s consultation form
The adult must be present in the room throughout the treatment
Complaints Procedure
If a client wishes to make a complaint about OCR, this must be emailed to the address specified at www.omchireiki@gmail.com
Complaints must include the date and location of the incident, the full name of the complainant, details of the complaint and a desired outcome following the complaint
All complaints will be taken very seriously and a response will be provided within 28 days
